Notes and Tasks

Add a task with a due date and an owner

Record a small action, say who owns it and when it is due.

Beginner6 stepsMac

Before you start

  • Notes & Tasks is open.

Steps

  1. Click New Task.

A panel called New Task opens at the right. It has Task title, Due date, Owner, Related to and Notes, with Cancel and Add Task at the bottom.

  2. Type the task in the Task title box, for example Book the lamp rig.

The title is the only thing you have to fill in.

  3. Tick Set a due date and pick a date in the box beside it.

The date box under Due date shows the day you pick, for example 28/10/2026. Leave Set a due date unticked for a task with no deadline. To give the task an owner, click the Owner menu: it lists No owner, which is the default, and your own name followed by (you).

  4. To link the task to something in the project, type in the Related to box.

The box says Find a scene, location, character, shooting day or call sheet. Optional. Completing the task never changes the related item. If nothing matches, it says Nothing matches. Tasks can relate to scenes, scene cards, characters, locations, breakdown items, cast, crew, shooting days and call sheets.

  5. Add anything else in Notes, then click Add Task.

Cancel closes the panel and adds nothing.

  6. Look at the Tasks half.

The task is listed with a tick box and its due date, for example due 28 Oct. The heading reads 1 open and a message says Added task “Book the lamp rig”. Click Undo in the message if you added it by mistake.

What you get

The task is in the Tasks list with its due date.

Watch out for

  • Related to is only a link for your convenience. Ticking the task done never changes the scene, location or call sheet it points to.
