Call sheets

Add extras, crew and department notes

List the background actors, the crew with their calls, and a note for each department.

Intermediate5 stepsWindows

Before you start

  • A draft call sheet is open.

Steps

  1. Choose Extras from Add Section. In the EXTRAS table, click Add extras row.

The table has the columns Description, Quantity, Call, On set and Notes. A new row has all five boxes empty. Call reads Needs input until you fill it. Each row has an x at the right to remove it, and Add extras row sits under the table. With no rows, the table shows only its headings.

  2. Choose Crew from Add Section, or scroll to the CREW section if it is already there.

The table has the columns Department, Role, Name, Call and Contact, and the heading counts them, for example 4 crew members listed. Rows are brought over from your project's Cast and crew list when it has crew. Type each person's Call and Contact.

  3. Click Add crew row to add someone, or click the x at the end of a row to take that person off this sheet.

Removing a row removes the person from this call sheet only. They stay in your Cast and crew list.

  4. Choose Department notes from Add Section.

Each row has a department name box and a larger notes box. The picture shows Set dressing, Props, Costumes, Sound, Makeup / Hair, Art, Camera and Production. Type the notes for each department.

  5. Click Add department to add another row, or the x beside a row to remove it.

A new row starts with an empty department name. Type a name such as Stunts, then its notes. The x at the top right of the section removes the whole Department notes section.

What you get

The sheet lists extras, crew and departmental instructions under Cast & Crew.

Watch out for

  • Crew rows and department rows that you delete here stay in the project. Only this call sheet changes.
