Breakdown

Export the breakdown

Save the breakdown as a PDF, a CSV file or an Excel workbook.

Intermediate5 stepsWindows

Before you start

  • The project has a Production Source.

Steps

  1. Click Export in the Production Source bar.

The dialog Export Breakdown starts with Source: the active Production Source. Under WHAT ARE YOU EXPORTING? choose All scenes of the Production Source, Current scene or Selected scenes. Under FORMAT choose PDF (printable), CSV (spreadsheet-friendly text) or Excel (XLSX) (one sheet per table). A line shows the suggested file name: the project name, Breakdown Report and today's date.

  2. Under OPTIONS, set Contents and the two tick boxes.

For PDF and Excel, Contents offers Breakdown by scene and Catalog, Breakdown by scene, or Catalog with scene usage. Include suggested elements (marked as suggested) is ticked at the start. Untick it to leave suggestions out. Include element notes is unticked at the start. A note at the bottom says: Private notes excluded. Export creates a snapshot and does not change your project.

  3. To export only some scenes, choose Selected scenes and tick them in the list.

The list shows every scene as its number and heading. Export… stays greyed out until at least one scene is ticked.

  4. To export a spreadsheet file, choose CSV.

The file name ends in .csv. A CSV file holds one table, so the Contents list becomes a Table list with Breakdown by scene or Catalog with scene usage. Excel keeps the tables on separate sheets in one file.

  5. Click Export…, then choose where to save the file in the Windows window that opens.

Cancel closes the dialog without exporting. The PDF carries a small Created using OpenFrame line. The CSV file does not.

What you get

You have a breakdown file saved where you chose.

Watch out for

  • An export is a snapshot. Changes you make later do not appear in a file you already saved.
  • Private notes are always left out. Element notes are included only if you tick Include element notes.
